PURPOSE OF THE PROGRAM

S.O.E Basketball Club (“S.O.E,” “we,” “our,” or “the Club”) provides basketball training, development programs, camps, clinics, practices, tryouts, scrimmages, games, tournaments, and related activities for youth boys and girls.

Our goal is to provide a positive, respectful, inclusive, challenging, and safe basketball environment in which young athletes can develop their basketball skills, confidence, teamwork, discipline, sportsmanship, and personal character.

ELIGIBILITY AND REGISTRATION

Participation is open to eligible youth players according to the age groups and program requirements established by S.O.E.

A parent or legal guardian must complete the registration process for participants under the age of 18 and provide accurate and current information.

Parents/guardians are responsible for informing S.O.E of any changes to:

Emergency contact information;

Medical or allergy information;

Medication requirements;

Physical limitations or restrictions;

Relevant health or safety information;

Authorized pickup persons; and

Other information reasonably required for the participant’s safety.

S.O.E reserves the right to refuse or limit registration when a program is full, age requirements are not met, or participation would not be appropriate for the program.

PROGRAM FEES AND PAYMENT

Program fees must be paid according to the payment schedule provided at registration.

Unless otherwise stated in writing:

Registration is not considered complete until required payment has been received.

Parents/guardians are responsible for ensuring that payments are made on time.

Additional costs may apply for uniforms, tournaments, travel, equipment, facility fees, or special events.

S.O.E may suspend participation when required fees remain unpaid.

Any applicable taxes, processing fees, or third-party charges will be communicated to families before payment whenever reasonably possible.

REFUNDS AND CANCELLATIONS

Refund eligibility will depend on the specific program and the circumstances of the cancellation.

Unless a different written refund policy applies:

Registration fees may be non-refundable after the program begins.

Requests for cancellation should be submitted in writing.

Refunds, where applicable, may be subject to administrative or processing fees.

Missed practices, games, camps, or training sessions generally do not qualify for a refund.

S.O.E may provide credits or alternative arrangements at its discretion where circumstances warrant.

If S.O.E cancels or substantially changes a program, S.O.E will communicate available options to affected families.

ATTENDANCE AND PUNCTUALITY

Players are expected to arrive on time and be prepared to participate.

Parents/guardians should notify S.O.E when a player will be absent or late.

Repeated lateness or unexplained absences may affect a player’s participation in practices, games, tournaments, or other team activities.

PLAYER CONDUCT

S.O.E expects all players to demonstrate:

Respect for coaches, teammates, opponents, officials, parents, and facility staff;

Good sportsmanship;

Positive communication;

Appropriate language and behaviour;

Respect for equipment and facilities;

Commitment to learning and improvement; and

Appropriate conduct on and off the court while representing S.O.E.

S.O.E does not tolerate bullying, harassment, discrimination, threats, intimidation, violence, fighting, abusive behaviour, or deliberate destruction of property.

Disciplinary action may include a verbal warning, removal from an activity, suspension, parent/guardian meeting, or termination of participation, depending on the circumstances.

PARENT AND GUARDIAN CONDUCT

Parents and guardians are expected to support a positive environment.

Parents/guardians must not:

Harass or threaten coaches, officials, players, or other families;

Interfere with coaching decisions;

Engage in abusive or discriminatory conduct;

Encourage unsportsmanlike behaviour;

Enter restricted areas without authorization; or

Engage in behaviour that negatively affects the safety or wellbeing of participants.

S.O.E may require a parent/guardian to leave a facility or may restrict participation when conduct creates a safety or program concern.

SAFETY AND INJURY

Basketball involves physical activity and inherent risks, including falls, collisions, sprains, strains, fractures, concussion, and other injuries.

S.O.E will take reasonable steps to provide a safe training environment, but cannot eliminate every risk associated with participation in basketball.

Players are expected to follow coaches’ safety instructions and immediately report injuries, pain, illness, or unsafe conditions.

Parents/guardians authorize S.O.E staff to take reasonable steps to obtain emergency medical assistance for a participant when necessary and when the parent/guardian cannot reasonably be reached.

Parents/guardians remain responsible for providing S.O.E with accurate emergency and medical information.

MEDICAL INFORMATION

S.O.E may collect limited medical, allergy, emergency contact, and related information when reasonably necessary to safely administer the program.

This information will be handled in accordance with S.O.E’s Privacy Policy and applicable privacy laws.

Parents/guardians should ensure that S.O.E is informed of relevant medical restrictions or emergency procedures before participation.

FACILITY RULES

Participants and families must follow the rules of the facility in which S.O.E activities take place.

S.O.E is not responsible for loss, theft, or damage to personal property brought to practices, games, camps, tournaments, or other activities, except where responsibility cannot legally be excluded.

EQUIPMENT

Players are responsible for bringing required personal equipment, including appropriate athletic clothing, basketball shoes, water, and any other items identified by S.O.E.

Players must treat S.O.E and facility equipment respectfully.

Parents/guardians may be responsible for damage caused intentionally or through serious misuse.

TRANSPORTATION AND TRAVEL

Unless specifically stated otherwise, parents/guardians are responsible for transportation to and from S.O.E activities.

If S.O.E organizes transportation for a tournament, event, or other activity, parents/guardians will receive additional information and any required consent forms before transportation takes place.

PHOTOGRAPHY, VIDEO AND PROMOTIONAL MATERIAL

S.O.E may photograph or record players during practices, games, camps, tournaments, and other Club activities for legitimate program, educational, promotional, website, social media, or marketing purposes.

Where required, S.O.E will obtain the appropriate consent from the parent/guardian before using identifiable images or recordings of a youth participant for promotional purposes.

Parents/guardians may contact S.O.E to withdraw future promotional consent, subject to reasonable limitations relating to material that has already been published or distributed.

COMMUNICATION

S.O.E may communicate with parents/guardians regarding:

Practice schedules;

Games and tournaments;

Cancellations;

Program updates;

Registration;

Payments;

Player development;

Emergencies; and

Other matters related to S.O.E activities.

Communication may occur by email, telephone, text message, registration platforms, or other communication methods used by S.O.E.

INCLUSIVE ENVIRONMENT

S.O.E welcomes youth boys and girls and is committed to providing a respectful environment for participants regardless of background, ability, or level of basketball experience.

S.O.E expects all participants and families to contribute to a respectful and inclusive environment.

COACHING AND PLAYING TIME

S.O.E coaches will make decisions regarding training activities, player development, team assignments, lineups, positions, and playing opportunities based on program objectives and the circumstances of each activity.

Participation in an S.O.E program does not guarantee a specific position, amount of playing time, team placement, or selection for tournaments or competitions.

PROGRAM CHANGES

S.O.E may reasonably modify schedules, locations, coaches, activities, teams, or program structures when necessary because of facility availability, weather, safety, registration numbers, tournaments, staffing, or other circumstances.

S.O.E will make reasonable efforts to communicate significant changes to families.

TERMINATION OF PARTICIPATION

S.O.E may suspend or terminate a participant’s participation when necessary because of serious misconduct, repeated violations of Club policies, unpaid fees, safety concerns, or other circumstances that materially affect the program.

Where appropriate, S.O.E will communicate with the parent/guardian before taking such action.

PERSONAL INFORMATION

S.O.E collects and uses personal information in accordance with its Privacy Policy and applicable Alberta privacy legislation.

Parents/guardians should review the S.O.E Privacy Policy before completing registration.

ACCEPTANCE OF TERMS

By registering a participant with S.O.E Basketball Club, the parent or legal guardian confirms that they:

Have read and understood these Terms & Conditions;

Have provided accurate information;

Agree to follow the Club’s policies and expectations;

Agree that the participant will follow reasonable instructions from S.O.E coaches and staff; and

Understand that participation in basketball involves inherent physical risks.

CHANGES TO THESE TERMS

S.O.E may update these Terms & Conditions from time to time.

Updated terms will be communicated or made available to families as appropriate.
