S.O.E Basketball Club (“S.O.E,” “we,” “our,” or “the Club”) respects the privacy of players, parents, guardians, coaches, volunteers, and other individuals who interact with our program.
Because S.O.E serves youth participants, we take particular care with information relating to children and their families.
This Privacy Policy explains what information S.O.E may collect, why we collect it, how we use and protect it, when we may disclose it, and how individuals may contact us about their information.
S.O.E intends to handle personal information in accordance with applicable privacy laws, including Alberta’s Personal Information Protection Act (“PIPA”) where applicable.
Depending on the program and services provided, S.O.E may collect:
Participant information
First and last name;
Date of birth or age;
Gender where reasonably necessary for program administration;
Basketball experience and skill information;
Team or program information;
Attendance information;
Emergency contact information;
Relevant medical, allergy, injury, or accommodation information provided for safety purposes.
Parent/Guardian information
Name;
Telephone number;
Email address;
Address where reasonably necessary;
Relationship to participant;
Authorized pickup information;
Payment and registration information.
Program information
Registration records;
Team information;
Training and attendance records;
Tournament or event information;
Communications with families.
S.O.E may collect information:
Directly from parents or guardians;
Directly from adult participants where appropriate;
Through registration forms;
Through electronic registration systems;
Through email, telephone, or text communication;
Through coaches or authorized program staff; and
From third-party service providers used to administer registration, payments, communications, or programs.
S.O.E will generally collect personal information directly from the individual or their parent/guardian unless permitted otherwise by applicable law.
S.O.E may collect, use, and disclose personal information for reasonable purposes such as:
Processing registrations;
Managing player participation;
Organizing practices, games, camps, tournaments, and events;
Communicating with parents/guardians;
Managing payments;
Maintaining emergency contact information;
Responding to injuries or emergencies;
Supporting participant safety;
Assigning teams and managing programs;
Meeting insurance, legal, accounting, or administrative requirements;
Improving our programs;
Maintaining Club records; and
Communicating information about S.O.E programs where appropriate consent has been obtained.
S.O.E will limit collection to information reasonably required for the purposes identified.
Where consent is required, S.O.E will seek appropriate consent before collecting, using, or disclosing personal information.
For youth participants, S.O.E will generally obtain consent from the parent or legal guardian for registration, program administration, and other purposes where consent is required.
Consent may be provided in writing or electronically where legally permitted.
Parents/guardians may withdraw or change consent by contacting S.O.E. Withdrawal of consent may have consequences where the information is necessary to provide a particular service or meet a legal or safety requirement.
S.O.E may take photographs or videos during basketball activities.
With appropriate consent, photographs and videos may be used for:
S.O.E’s website;
Social media;
Promotional materials;
Advertising;
Team or program communications;
Basketball education and development;
Event highlights; and
Other legitimate S.O.E promotional purposes.
S.O.E will not knowingly sell identifiable images of youth participants to unrelated third parties.
Parents/guardians may contact S.O.E regarding withdrawal of consent for future promotional use. Withdrawal does not necessarily require removal of material that has already been printed, published, distributed, or shared.
S.O.E may collect limited medical or emergency information when reasonably necessary to protect a participant’s safety.
This information may be shared with coaches, staff, emergency responders, medical professionals, facilities, insurers, or other persons where reasonably necessary for safety, emergency response, program administration, or as otherwise permitted or required by law.
S.O.E will not routinely sell or rent personal information.
Personal information may be disclosed when reasonably necessary to:
Provide S.O.E programs and services;
Process payments;
Operate registration systems;
Communicate with families;
Provide emergency assistance;
Obtain insurance or administer claims;
Comply with legal requirements;
Protect the safety of participants or others; or
Work with authorized service providers.
Where appropriate and required, S.O.E will obtain consent before disclosure.
S.O.E may use third-party service providers for services such as:
Registration;
Online payments;
Email communication;
Scheduling;
Website hosting;
Cloud storage;
Team management; and
Other administrative services.
Some service providers may store or process information outside Canada.
Where applicable, S.O.E will provide appropriate notice regarding service providers outside Canada and the purposes for which they may collect, use, or disclose personal information.
S.O.E will take reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, collection, use, disclosure, copying, modification, loss, or destruction.
Security measures may include:
Password protection;
Restricted access;
Secure electronic systems;
Limiting access to authorized personnel;
Secure disposal of records; and
Appropriate confidentiality practices.
No electronic system can be guaranteed to be completely secure.
S.O.E will retain personal information only for as long as reasonably necessary for the purposes for which it was collected, legal requirements, insurance requirements, accounting purposes, dispute resolution, or other legitimate organizational purposes.
When personal information is no longer reasonably required, S.O.E will take reasonable steps to securely destroy, delete, or anonymize it.
Subject to applicable legal exceptions, individuals may request access to personal information that S.O.E holds about them and may request correction of inaccurate or incomplete information.
Requests should be made in writing to S.O.E’s privacy contact.

S.O.E will review privacy concerns and make reasonable efforts to respond appropriately.
Individuals may also have rights to contact the Office of the Information and Privacy Commissioner of Alberta where applicable.
S.O.E recognizes that youth participants require additional care regarding personal information.
S.O.E will seek appropriate parent/guardian authorization for the collection, use, and disclosure of youth participants’ personal information where required.
S.O.E will limit access to youth information to individuals who reasonably require it for program administration, safety, coaching, or other authorized purposes.
S.O.E may operate social media accounts and publish program-related content.
S.O.E will take reasonable steps to respect applicable photo/video permissions and will not intentionally publish sensitive personal information about youth participants without appropriate authorization.
Parents and guardians are also encouraged to respect the privacy of other youth participants when taking or sharing photographs or videos at S.O.E activities.
S.O.E may update this Privacy Policy from time to time to reflect changes to our programs, technology, service providers, or applicable privacy requirements.
The most current version will be made available to families.
